A workplace needs assessment is the process of building the evidence base before workplace strategy decisions are made. It looks beyond preference and asks what the organisation actually needs from the workplace: how people work, how teams coordinate, where support spaces are missing, which operational constraints matter and which future changes must be anticipated. The result is a stronger basis for decisions about space mix, footprint, team settings, hybrid routines, support areas and change priorities.

It is a phase, not a single questionnaire

The main mistake organisations make is treating needs assessment as a short preference survey. In reality, it is a broader phase in which different kinds of evidence are collected and interpreted.

That evidence may include survey results, interviews, workshops, utilisation patterns, operational requirements and management assumptions that need to be tested.

It should reveal what the workplace must support

A good needs assessment should clarify which activities need privacy, which need fast collaboration, which need shared project zones, what kinds of meetings occur, which support spaces are operationally necessary and where current friction slows work down.
